Call for Makers and STEM Organizations 2025


Welcome to the 2025 City of STEM + Los Angeles (LA) Maker Faire Festival! The Los Angeles Public Library (LAPL) and the Columbia Memorial Space Center (CSMC) are joining forces to combine the two largest celebrations of making, creativity, invention, curiosity, STEAM, and hands-on learning in Los Angeles into one extravaganza. The 2025 event is scheduled for Saturday, April 12th, 9:00am-4:00pm at Exposition Park (south lawn).

Exhibitors interested in either LA Maker Faire or City of STEM will apply for participation using this shared application form for the combined event. There are five pages to this application. Your application is complete only after you click [SUBMIT] on the last page of this form. At any time, you can save your application with the [Save and Continue Later] link at the bottom of each page. You will receive a link to return to your application that is good for 30 DAYS. Do not lose the link or forget to return to your application because event coordinators are not able to retrieve your information until the application is submitted. During the application process, do not refresh your browser, or your answers may be lost. After submitting your application, our team will review your proposal and you will be notified of our decision.

    For the application you will need:
    ~Exhibitor Information – Organization/Maker name (for listings), two images (logo and/or pictures), contact info (email address, name, address, phone number), description of you or your organization.
    ~Optional - Website, social media pages, YouTube link.
    ~Exhibit Details – Description of what people will see/do at your booth/presentation, special requests (power, water access, light levels, larger space, extra equipment), safety considerations, time needed to setup, etc.

    Please NOTE:
    ~For a standard booth setup, we will provide: 10x10 canopy, 1 table and 2 chairs. No personal canopies permitted except for sponsors and other rare circumstances. Requests for larger space will be considered.
    ~A limited number of presentations and workshops will be held in a SHARED Presentation Tent. This COMMUNAL tent is separate from your booth. If you plan to present at your booth throughout the day (not at a separate location), there is no need to select presentation on the application. Keep in mind that the event is outdoors in a park, so presentation technology at the communal tent will be limited. We can discuss your specific needs once we receive your application.

  • Step 1 of 5: Introduction and Exhibit Details

  • List your organization name, group name, or individual name(s) or your maker project title. For Makers, you may list up to 2 individuals. More information will be asked later in the application.
  • #1) "Booth Exhibit" is for organizations/makers that would like their own space for the entire day (includes mobile museums/experiences). #2) "Presentation" would take place in a designated communal tent at specific time(s), lasting 15 to 45 minutes. #3) If you would like to have a booth AND do a presentation in the communal tent (away from your booth), select the third option. #4) An "Attraction" is something like an art installation or an experience that doesn't include a booth or presentation.
  • If you are hosting these things randomly throughout the day (not scheduled), please select "no".
  • Let us know what time and we may be able to help announce when your scheduled events are occurring. Example: Every xx minutes/XX hour(s) or 2 pm; 4 pm.
  • You may request volunteer assistance in the following categories. We will do our best to accommodate your request but cannot guarantee volunteers will be available. Confirmation will be sent in the weeks leading up to the event. PLEASE NOTE: #1) Volunteers will be available to assist all exhibitors upon arrival to help you get to your booth but they will not be able to stay to help with your setup. #2) Volunteers will be available to assist all presenters/workshop hosts if you have a scheduled event at one of the shared/communal spaces (no need to request).
  • Describe your volunteer needs. What time (BE SPECIFIC)? How many (MAX: 2)? What will they be doing? PLEASE NOTE: volunteer assistance is NOT guaranteed. We will do our best to accommodate requests in the order they are received. We highly recommend recruiting your own people to assist you.
  • The primary focus of the event is to engage our guests in STEM and maker activities, demos, and experiences. Hands-on activities are strongly encouraged! If you do not have a hands-on activity, please reconsider what you could do to engage and inspire attendees. You are allowed to network with with guests, promote your website and resources, build your email distribution lists, etc. but this should not be the main focus of your booth. If you would like to have someone on our programming team reach out to you, we would be happy to help clarify the guidelines and/or discuss ideas for your booth.
  • We are accepting proposals for presentations in a communal presentation or workshop tent(s). However, please understand time in this shared space is limited and we may not be able to accommodate your request. A "WORKSHOP" is more of a hands-on class-style experience for the attendees. They will be seated at a table and the presenter will lead them in an activity. Plan on supplies for up to 50 guests. A "DEMO" is an audience-style setting with rows of chairs for the attendees. The presenter is conducting a demonstration or presentation that may engage participants in the presentation without hands-on activities. NOTE: If you only plan to lead the presentation at your booth, please change your "type of proposal" to "booth exhibit only".
  • Explain what your booth/presentation is and describe what you will be bringing to the event. This information will NOT be made public ... it is for the City of STEM + LA Maker Faire team to have a better understanding of what your booth/presentation/attraction will be like.
  • Response limited to 250 characters or less. This information will be made public exactly as you enter it. CLICK HERE for an example of how your logo, description, and other info will be displayed. This entry will appear under the main image.
  • Upload a file of your logo or project photo for promotional purposes. This is a REQUIRED field. The file size must be at least 500px. Square images display better on the exhibitor listing page. If your project is still under construction, feel free to upload an image of a prototype of your design. For logos, a transparent background is preferred. This image will be the main image that appears on the full list of exhibitors as well as the large image above your description when someone clicks on the listing.

  • Step 2 of 5: Presentation Needs (At Shared/Communal Tent)

    The following questions are regarding the needs for your workshop/demo (not your exhibitor booth). NOTE: If you only plan to lead the presentation at your booth, please change your "type of proposal" to "booth exhibit only". *Indicates a required field.
  • If your presentation can be edited to length, select all the options that could apply.
  • The programming committee will contact you with a specific presentation time after registrations have closed. If your availability changes, please contact info@cityofstem.org or makerfaire@lapl.org.
  • We typically leave a 15 minute transition time on the schedule between presentations. This means you will need to set-up and clean-up in 15 minutes before and after your presentation while another presenter is doing the same (ie. they are cleaning up while you are setting up). We will have volunteers assigned to the area to assist with the transition. Please select the option that best describes the time you need for set-up/clean-up.
  • Indicate the amount of time you need for set-up and clean-up for your presentation.
  • The workshop and demo tents will have a projector with HDMI input, microphones or voice amplifiers, and a power source. Do you have any other needs or questions about what will be supplied for your presentation? If yes, our event coordinators will reach out to you for more information.

  • Step 2 of 5: Booth Set-up Needs

    The following questions are regarding the set-up needs for your exhibitor booth. *Indicates a required field.
  • A standard booth space is 10'x10'. Please select your exhibit size. Placement will be sent about a month before the event.
  • BE SPECIFIC. We will review your request and determine if we are able to accommodate you. Organizers may reach out for more information.
  • You may upload a drawing or layout of your non-standard size booth to help explain what your needs are.
    Max. file size: 10 MB.
  • What size is the mobile unit? Are there any surface restrictions or anything else we should know about? What are the power needs? We typically don't supply a canopy or table and chairs for mobile exhibits. If you need any of these items, let us know here.
  • Standard booths (10x10) will come with a canopy, one 6' table and 2 chairs.
  • Please specify the total number of tables you are requesting.

  • All exhibitors will need to arrive no later than 8:15. In order to help exhibitor check-in run smoothly, we will assign an arrival time slot based on your answer below and in the order your application was received.
  • This is an outdoor event. Power availability is limited and we can only support standard powered items (nothing that requires a large amount of watts). We encourage you to bring your own power source. Please only request access to the shared power source if it is essential to your exhibit. You must provide an extension cord and power strip to access the shared power source. Also note, overnight dampness may delay the time power can be turned on in the morning. This is beyond our control.
  • Choose the level of noise produced at your exhibit.
  • Do you have heat sensitive equipment, or monitors prone to glare, or displays that need a darkened environment?
  • BE SPECIFIC. Describe your equipment and what we can do to help. Keep in mind this is an outdoor event, and our options for a darkened environment are limited. Some options include extra tent walls, a black canopy instead of white, or a booth facing north that may get less direct light.
  • The event will be outdoors at a park. Booths will be placed side-by-side in rows on grass. Please keep in mind the setting of the event when planning your booth.
    Do you have any special requests such as surfaces, water access, use of radio frequencies, space outside of your canopy, excessive waste produced, or anything else that we have not addressed in the questions above that are essential to your exhibit?
  • BE SPECIFIC. Describe what your needs are and what we can do to help. Event organizers will reach out to you to confirm whether or not we can accommodate your requests.

    The Primary Contact is the logistical contact for the event production and programming team.
  • We will send acceptance notification and all information to this email address. Please type it carefully. We also recommend adding the @lapl.org and @cityofstem.org email domains as approved senders in your email account.

  • Are you or someone in your organization interested in spending a couple hours at our Science & Career Lounge? The purpose of the lounge is to offer guests an opportunity to ask questions and interact with a professional in the STEM or Maker field in a relaxed lounge-like setting. We will contact you with more information if you are interested.

    Name(s), Bio(s), Organization, and Photo will be published on the event website. All other information will remain private and goes only to the Maker Faire team.   • Choosing "One Maker" or "A group ... " allows you to add one photo, description, and optional website representing you or your group. Selecting "A list ..." allows you to enter a photo, description, and optional website for each maker (up to 2).
